Email Templates

New Customer Quote Email

Hello,

Did you know there are over 600 insurance companies that provide trucking insurance filings with the FMCSA? Unfortunately, only 4–5 of them allow agents to quote and bind within a few minutes. The other 595 companies require a very tedious process — many take 3–5 days, and some take a week to 10 days.

We will do everything we can to find you the best price, but we will need your help if we cannot find a good deal with the first 4–5 companies.

These 595+ companies will not even review your application without MVRs and at least 3 years of Loss Runs (if you have had insurance that long). Sometimes obtaining your loss run reports can take 7–10 days, so it's best to start this process as soon as possible. You will be receiving an e-sign form from us to authorize our request for your loss runs.

MVRs for all drivers: The FMCSA requires all trucking companies to keep an MVR on file for every driver for 3 years. If you have copies of current MVRs, please send them. If you do NOT have a current copy, we have provided this portal where you can instantly obtain an MVR — at about the same cost as your local DMV: https://www.mvr4drivers.com

Please send all MVRs, Loss Runs, and IFTA reports to your agent (copied on this email). If you reply to this email, make sure to "Reply All."

(Remember, if we start shopping this alternative market, be prepared for several questions and respond quickly. If you do not answer them in a reasonable time, they assume you are not serious)

Renewal Advice Email

Hello [Name],

Our Advice if You Are Shopping for Your Renewal Insurance:

90 Days Prior to Your Renewal Date:
• Plan ahead. Do not wait until a few days before your renewal date — start these tasks 90 days in advance.
• Review driver MVRs. You must obtain new ones every year.
• Review FMCSA scores (ideally throughout the year).
• Prepare your information: Spreadsheet with all VINs, values, driver names, license numbers, hire dates, and CDL years; All matching MVRs; Last 3 years of loss runs; IFTA for the last 4 quarters; Accurate MCS-150; Current Certificate of Insurance.

60 Days Prior:
• Choose your preferred agent and provide all prepared information.
• Give your #1 agent one week to submit before sharing with other agents.

30–60 Days Prior:
• Track the quote status from each agent's company list.

2–3 Weeks Prior:
• Narrow down your renewal choice.
• Let remaining companies know you plan to decide 7–10 days before renewal.

7–10 Days Before Renewal:
• Purchase the renewal policy. Some companies take several days to bind coverage.
